How we handle and use your information - privacy notice and data collection

Trust Governance Services ("We") are committed to protecting and respecting your privacy.

We may collect, hold and use some of your personal data and herein provide more information about how we do so.

Please read the following carefully and ensure that you understand it. If you do not agree wtih or accept all of the following then please stop using our website immediately, as your continued use of and access to our website can be reasonably construed as your acceptance of this policy.



1. Definitions and interpretation

1.1 Data: any information that a user of Trust GS provides to us directly or indirectly through their usage of our website or in any other way, as set out below.

1.3 You/Your: Any user of the service.


2. User Rights

2.1 We acknowledge that you have the following rights:

  • 2.1.1 A right to be informed about our collection and use of personal information, as set out in this document;
  • 2.1.2 A right of access to the personal information we hold about you;
  • 2.1.3 A right to rectification if any personal information we hold about you is incomplete or inaccurate;
  • 2.1.4 A right to ask us to delete any personal information we hold about you, unless we are obliged to retain the information for overriding legal reasons;
  • 2.1.5 A right to restrict or prevent the processing of your personal information;
  • 2.1.6 A right to data portability (obtaining a copy of your data to re-use with another service or organisation);
  • 2.1.7 A right to object to the use of your data for particular purposes.

3. Data Collection

3.1 We may collect data from you in any of the following ways:

  • 3.1.1 If you fill out a contact form or equivalent on our website then we will receive all of the data that you input into that form and may retain it for appropriate and relevant business purposes;
  • 3.1.2 If you contact us by any method of contact including but not limited to phone or email then we will retain details you provide to us including your name, email address or any other information that you chose to give us;
  • 3.1.3 During the course of your usage of our website, we might collect data about your computer, including (where available) your IP address, operating system, browser type, connection type/speed, and which parts of our website you access. We retain this data solely for aggregate analysis of the performance of our website.

4. Using your information

4.1 Where we hold any data about you, it will be processed and stored securely and for no longer than is necessary, in line with the reason for which it was provided to us.

4.2 We may potentially use your data, where appropriate, to:

  • 4.2.1 Reply to a communication from you;
  • 4.2.2 Offer or provide you with services either directly requested or which we have reason to believe would be of interest to you, if you have consented to receive such communications from us;
  • 4.2.3 Monitor the performance and suitability of our website for our own purposes.

4.3 We will delete your personal information within a reasonable timeframe once your request has been dealt with (where relevant), except where:

  • 4.3.1 You have given us permission to continue to contact you, for example by consenting to be part of our "mailing list";
  • 4.3.2 You become a client of the business;
  • 4.3.3 You require us to retain it for longer;
  • 4.3.4 We are obliged to retain it for longer for legal reasons.

4.4 You have the right to withdraw your consent for our use of your data and to request that we delete it. If you wish for us to do so then you can contact us on enquiries@trustgs.co.uk. We will review your request and provide you with a clear response within a reasonable timeframe, not exceeding one month.

4.5 We will not share any of your data with third parties for any purposes unless you have specifically asked us to do so.

4.6 We do not use your data for any automated decision-making such as profiling.


5. Security

5.1 We take the security of your data very seriously.

5.2 Data that we store and/or process electronically is protected by all reasonable steps:

  • 5.2.1 Our website traffic is encrypted.
  • 5.2.2 Any databases are protected by high standards of security.
  • 5.2.3 Our servers are maintained by a reputable UK-based company who offer high standards of security.

5.3 Data that we keep in hard copy will always be kept in a secure fashion within our offices.

5.4 If we ever became aware of a breach of security relating to your data we would inform you as soon as practically possible. We would also inform the Information Commissioner if appropriate.


6. Accessing your Data

6.1 You have a right to make a request to access your data, in line with the guidelines available via the ICO.

6.2 You have the right to make a subject access request via any method of communication but, as we would wish to respond as quickly and helpfully as possible, we kindly request that you email your enquiry to enquiries@trustgs.co.uk and clearly state "Subject Access Request" in the subject line of the email.

6.3 We will respond to all such requests within a reasonable timeframe.

6.4 We reserve the right to charge a £10 processing fee.

6.5 You do not have to tell us why you are making a Subject Access Request but it may help us to assist you if you do tell us.

6.6 In line with legislation, we have to take steps to verify your identity if you make a Subject Access Request.

6.7 We have 40 days to respond to any Subject Access Request. However, we reserve our statutory right to base this time period upon the date on which we receive payment of the administration fee, rather than the date on which you make the request (if different). We will always endeavour to comply with requests as promptly as we can, within reason.

7. Changes to Our Policies

7.1 If you are a user of our services and/or website then we recommend that you check this page regularly to keep up-to-date with our Privacy Statement and Data Collection processes, as we reserve the right to change this Policy from time-to-time if our policies and/or procedures change and/or if we are obliged to do so by law.

7.2 The most up-to-date version of this Policy will always be the one linked to from our homepage at www.trustgs.co.uk and we request that you ensure you have checked that the version you have is the most up-to-date version before taking any decisions or actions.

7.3 If you have any doubt about whether or not the version you have is the most up-to-date, please contact us.


8. Applicability

8.1 This Policy applies only to your use of our website and services.

8.2 Our website may contain links to other websites. We have no control over how your data is collected, stored or used by other websites and/or companies and advise you to familiarise yourself with their own relevant Policies.


9. Complaints

9.1 If you have any cause for complaint about our use of your personal data then please cease using our website immediately and contact us to attempt to resolve the issue.
